Privacy Policy

This Privacy Policy explains how NPP Loyal Ladies, the women's wing of the New Patriotic Party ("NPP Loyal Ladies", "we", "us", or "our"), collects, uses, shares, and protects information when you use the NPP Loyal Ladies Member Portal website and mobile app (together, the "Service").

1. Information We Collect

Information you provide directly:

• Account details: first name, last name, phone number, email address, and password (stored securely, never in plain text);
• Profile information: profile photo/avatar, WhatsApp number, date of birth, region/constituency, and other membership details you choose to add;
• Membership & activity data: membership application details, claims, referral IDs, event/participation codes, points, likes, and community posts or birthday wishes you send;
• Support requests: any information you provide when contacting support, such as your name, phone, email, and the content of your message.

Information collected automatically:

• Usage data: pages and screens viewed, features used, and general app interactions, collected via Google Analytics;
• Device & push notification data: a device token used to deliver push notifications, via Firebase Cloud Messaging;
• Technical data: IP address, device/browser type, and similar diagnostic information, used for security and troubleshooting.

Permissions used by the mobile app:

• Camera: used only when you choose to scan a QR code (for example, to claim event points);
• Photos/media: used only when you choose to select or upload a profile picture;
• Notifications: used to deliver announcements, birthday wishes, and activity alerts you can control in your device settings.

We do not access your camera, photos, or location in the background, and we do not collect any of this information unless you actively use the related feature.

2. How We Use Your Information

We use the information we collect to:

• Create and manage your membership account and verify your identity;
• Operate core features such as points, claims, referrals, the leaderboard, and community feeds;
• Send you service-related communications, announcements, and push notifications;
• Respond to support requests and communicate with you about your account;
• Detect, investigate, and prevent fraud, abuse, or violations of our Terms of Service;
• Understand how the Service is used so we can maintain and improve it;
• Comply with legal obligations.

We do not sell your personal information to third parties.

3. Who We Share Information With

We share information only in the following circumstances:

• Service providers: we use Google Firebase (Cloud Messaging, and related infrastructure) to deliver push notifications, and Google Analytics to understand app/portal usage. These providers process data on our behalf under their own privacy and security terms;
• Other members: certain profile information (such as your name, profile photo, membership tier, and public posts) may be visible to other members within the Service as part of its normal community features (for example, the leaderboard, discover members, and community feeds);
• Legal & safety: we may disclose information if required by law, regulation, or a valid legal process, or to protect the rights, property, or safety of NPP Loyal Ladies, our members, or the public;
• Business changes: if NPP Loyal Ladies' operations are reorganised, information may be transferred as part of that process, subject to this Privacy Policy continuing to apply.

4. Data Retention

We retain your information for as long as your account remains active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. If you request deletion of your account, we will delete or anonymise your personal information within a reasonable period, except where we are required to retain certain records by law.

5. Your Rights & How to Delete Your Data

You have the right to:

• Access the personal information we hold about you;
• Correct inaccurate or incomplete information, which you can do directly from your profile in the app or portal;
• Delete your account and associated personal data;
• Withdraw consent to non-essential processing, such as push notifications, at any time via your device settings.

To request deletion of your account and data, use our Delete My Account page. For access or correction requests, email [email protected] with the subject line "Data Request", or use the Support option inside the app or portal. We will verify your identity and respond within a reasonable timeframe. Deleting your account will remove your profile, membership, and points data from active use; some information may be retained where necessary for legal, security, or record-keeping purposes as described in Section 4.

6. Children's Privacy

The Service is not directed at children, and membership requires that you be at least 18 years old. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us at [email protected] so we can remove it.

7. Data Security

We use reasonable technical and organisational measures to protect your information, including encrypted transmission (HTTPS) and secure password hashing. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. International Data Transfers

Our service providers (such as Google Firebase and Google Analytics) may process and store information on servers located outside Ghana. Where this occurs, we rely on those providers' own safeguards for the protection of information transferred internationally.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective date" above and, for material changes, provide additional notice through the Service. We encourage you to review this page periodically.
